Tonbridge, UK : 4 March 2011: Churchill's clear vision is to be the leading and most innovative national supplier of bundled soft services in the UK.  Established in 1978, they have successfully implemented a strategy that never allows standards in their contracts to lapse, and so are now one of the UK's top 20 contract cleaning and security services companies.

With over 5,000 cleaning and 1,000 security staff, Churchill has chosen a solution that will support its future growth plans.  Currently, growth has left them with a number of different systems used for managing contracts, payroll, finance and other key business activities, across different UK locations.  Templa-CMS will provide the platform to integrate all contract activity and financial control across all locations, delivering immediate benefits with reduced administreation overheads and eradicating data duplication.

Nick Francis, Group Finance Director of Churchill, who led the software selection process, said "our key drivers for change included not only the need for data centralisation of both companies, but a management system that improved the whole process control across our business.  The success of our growth has brought its own administrative challenges, but with a single, streamlined system that takes control but is under our control, we're fully confident of how we will manage new growth in the futuire."

Wetton Cleaning Services choose Templa-CMS

Tonbridge, UK : 28 January 2011: Wetton Cleaning Services, who are currently in the top 35 contract cleaning companies in the UK, have selected Templa-CMS, the fully integrated sales, operations and finance solution to assist their ambitious growth plans.

Over the last 20 years Wettons have shown very strong year-on-year organic growth, with enviable high retention rates. The company boasts an excellent track record for personal attention to each individual contract, but as they have grown it is clear that their current software systems are being ever-stretched both functionally and technically.

"Selecting new software to base the future of your business on is not something to take lightly. Templa-CMS is an enterprise wide solution which supports our key objectives of managing all our contracts efficiently and profitably, by providing all the information we need in a single database. This will reduce administration, yet improve our performance, but crucially Templa-CMS has been chosen because it will provide the foundation for our business for many years to come" says Jason Baker, Financial Director.

Some of the key drivers for changing their current system include:

  • The incumbent supplier could not demonstrate a long term strategy for product development
  • The constant reliance on MS-Excel for contract control, wage variance analysis and site profit/loss reporting had to be eliminated
  • The move to an automated payroll process reducing overheads
  • The unnecessary paper trail through the business had to be replaced by introducing intelligent workflow
  • The ability to link both contract and management documents to Templa-CMS meant all relevant contract information can be accessed instantly at the touch of a button within the same software

Rick Stoor, Managing Director of Templa comments: "At Templa, we realise that software change is a big move for any business, so our proven roll-out methodology and data migration tools will ensure Wettons receive all the benefits of our software very quickly. We are delighted that they have chosen Templa as their partner and look forward to our software assisting their business in its plans for future growth.

Another two key South of England contract cleaning companies choose Templa-CMS

Tonbridge, UK - 18 May 2010: Another two contract cleaning companies have chosen Templa-CMS as the system to provide business browth and reduce admin.

Glen Cleaning, Bristol: whose key areas of business are local authority and public offices which are managed across the South West through 5 regional branches. They will be replacing a legacy contract cleaning system and separate Sage financials with the entire suite of Templa-CMS modules. Iain Lewis, MD comments: "when we met Rick we were sceptical, as after all he was a salesman with a product to sell. But, the commitment Rick and his team have made to fully understand and document our business processes, has not made this a leap of faith for us but a mutual continuation of our already established excellent working relationship. This is a great foundation for my team to have during the implementation which will affect so many aspects of our business."

Nviro, Isle of Wight & Portsmouth: with focus on local authority and general commercial businesses, supported by a number of branches. They too will be replacing the same contract control system and it's basic ledgers capability, with the entire suite of Templa-CMS. Brian Warren, MD said: "our current systems have served us well, but we have achieved a level of business now where all elements of a contract must be joined up, so that my operations and management staff have reliable and accurate information available at all times. I personally led the research into a appropriate solutions for us and Templa-CMS is the only product that ticks all the boxes."

KentKlean choose Templa-CMS as their complete contract cleaning solution

Tonbridge, UK : 16 April 2010:
KentKlean, a family owned business established in 1969 who operate out of offices in Maidstone and Kings Hill, has awarded the contract to Templa Computer Systems for the replacement of their administration and operational control software with Templa-CMS, a fully integration contract cleaning solution.

KentKlean is a well established and ambitions company who has shown significant growth, even in 2009 which was a tough year to say the least. Mike Dickenson, MD of KentKlean, has embarked on an investment programme to support their future growth plans and realised their existing Sage 50 and Sage Payroll software systems would not support their aspirations.

As part of the programme KentKlean searched the market for a fully integrated contract management system that would become the bedrock of their administration and operational control. Templa-CMS and its fully automated invoicing process would immediately save the business 2-3 days a month in staff time currently spent reconciling suppliers stores invoices for consumables recharging.

Simple contract amendments have also previously required onerous manual reconciliation between the various systems, utilising valuable administration time. Templa-CMS will deliver the ability to manage contract amendments through a central point, with an automated workflow approval process, reducing the paper trail and saving time and money along the way.

Another key reason for choosing Templa-CMS was the ability to automate the timesheet process for their full time cleaning staff. Sage Payroll does not offer employee assignment across multiple sites and rates of pay, nor does it support timesheet distribution and collection, so the process was completely manual. Templa-CMS takes full control of employee configuration and the timesheet process, minimising any manual intervention and provides KentKlean with the ability to take on more contracts without an incremental administration burden.

A key part to KentKlean's business is the supply and delivery of cleaning materials where their centralised warehouse enables them to offer competitive products across the region. This growth area required a sound and secure stock control facility, with the integration to site contracts, but their existing solution lacked visibility and control of the stores information. With no real-time materials budget capability at contract level, it was difficult to know exactly the level of stores supplies, until separate periodic analysis was undertaken, again causing an administrative overhead.

Templa-CMS has integrated stores orders and stock control with contracts, to deliver real-time material budget control and accurate stock management.

Mike Dickenson states: "We have been held back for a long time now in planning for business growth, as we were reluctant to just incur additional admin staff overhead. Having seen Templa-CMS in operation at a similar company, and the efficiencies it delivered them, it has provided us with a foundation for driving our marketing plan and incremental sales forward, with confidence."

Templa-CMS to provide the software platform for business growth to Exclusive Contracts

Tonbridge, UK : 12th March 2010: Exclusive Contract Services who operate from offices in Old Hatfield, London and Swindon have awarded Templa Computer Systems the contract to supply their Payroll system, an integrated module within the Templa-CMS suite of products, designed specifically for contract cleaning companies. Exclusive is a major stakeholder in the cleaning industry with clients ranging from national retailers to commercial businesses. As part of implementing their business plan, the Directors realised their existing systems would not support their current growth.

Templa-CMS, which is designed using the latest Microsoft technology, offers Exclusive a flexible, secure and scalable software platform that will provide a solid foundation, as well as delivering economies of scale, as new contracts and staff come on board.

Templa-CMS Payroll offers the ability to uniquely configure cleaning contracts with customer, site and task assignment, managing the allocations of employees with their hours and rates of pay. Exclusive, who employ over 1,700 cleaning staff, immediately saw the benefits of the automated timesheet distribution and remote data collection functions, where near real-time employee information can be updated by their mobile area managers, approved through workflow by business management and delivered to central payroll staff, without the need for a paper trail.

Exclusive recognised that this ability for timesheet information being captured online and not re-keyed would assist in them meeting their business objectives, allowing for expansion of contract and employee numbers, without the overhead of an exponential growth in payroll administration.

Lindsey Shirley, Financial Controller says "the combination of Templa's unique solution and their ability to clearly understand our overall business objectives translate these into a software solution made our selection choice straightforward."
